Businesses group leads into logical lists so that they can manage them better. For example, Facebook leads are stored in a separate list as against walk-in lists. Now, as a next step, few businesses would like to give access for a list to a selective group of people (users) while restricting others from accessing it.

For example, a New York lead or customer list is accessed only by sales team members belonging to New York State and not those in Illinois or Michigan.

To achieve this, you can enable list-based access rights to users in HelloLeads CRM. List-based access rights feature is available as part Enterprise plan of HelloLeads CRM.

What is List based access rights?

List based access rights is a feature that enables additional security of lead and customer data by providing restriction to users at a List level.

Once this feature is enabled, it is necessary for a user to be mapped to one or more lists, so that the user can view and manage leads & customer data in the given list.

In HelloLeads CRM, you can easily map users to lists by following these steps:

Before starting mapping users to lists, make sure of the below

1 . Ensure that List-level user access rights settings switch is enabled under Company profile. Enabling this setting allows you to define User level access rights for each List in your account.

With your list and users set up, you can now map users to the list. To do this,

1 . Select the list you want to map users in HelloLeads CRM Web application, click on “Edit” button and click on "Access Rights” option.

2 . Click on “Map Users to this list” button, search and select the users who needs access to the leads in this list.

3 . Once you've mapped your users to the list, be sure to click "Update" button for the changes to get reflected in the list.

4 . At any point of time, users can be removed from the mapped lists by clicking the delete icon.

Once the mapping is done, the users will be able to see all lists they are added to. Based on the Role they are created with, they will be able to see the leads inside the list.

For example, the account owner and manager will see all the leads in that list they are mapped with. While L2 users can see only the leads assigned to them in that list.

FAQ

A User is not able to see leads or customer data that we added recently.

It is possible you have enabled list-based access rights and you have not mapped a given list to a user. And if you add leads or customer data to this list, the given user will not be able to see or access the lead or customer data.
