Hello To-do Related Frequently Asked Questions

1. Can I add a To-do independent of lead or customer or Add tasks outside of lead management?

As of now, To-do is designed with in lead management, which means each task is associated with a lead or customer. However, if you want to create a task that is not related to a lead or customer, please create yourself as a lead or create your department (HR, Accounts) as leads and assign To-Do to the created lead/customer.

2. Can I integrate To-Do tasks with Google/ Apple calendar?

As of now, the integration with Google/ Apple calendar is not available. We have in our road map to integrate To-do with Google / Apple calendar in the future.

3. Do you have a sprint feature or tasks that are interconnected (done one after another)?

As a starting point, we have designed Hello To-do as a simple and easy-to-use feature, and hence sprint feature is not envisaged for now.

4. Can we send reminders as WhatsApp messages?

This is planned in the next phase. When it is available, you need to subscribe to Interakt (a WhatsApp API service provider) and then do an integration in HelloLeads Web application so that you can send reminders to the WhatsApp numbers of your team members.

5. Can this help in daily work planning for my team?

As of now, To-do is designed with lead management in mind, which means each task is associated with a lead or customer. However, if you want to create a task that is not related to a lead or customer, please create yourself as a lead or create your department (HR, Accounts) as leads and assign To-do to these elements. This way you can possibly achieve daily work planning for each user.

6. Can I attach images or documents to a To-do task?

As of now attaching images or documents to a To-do task is not available. We have this in our road map, to attach images or documents to a To-do task in the future.

7. Can I get alarms for each task when it is due?

Yes, HelloLeads CRM provides a prominent on-screen notification with an alarm at the scheduled To-do date & time on the task assigned user's mobile device. Users can customize the reminder mode (Sound, Vibrate, Silent etc) and tone (Harp Bell, Rhythm, Ripples, Vintage ring etc)

8. Can I reassign a task to someone else in my team?

Yes. Any time, a to-do task can be reassigned to any of your team members. Please note that a To-do task can be modified only by the user who had created the To-do and the user to whom the To-do is assigned to.

9. Can I create a task that is recurring, say weekly or monthly?

As a starting point, we have designed Hello To-do as a simple and easy-to-use feature, and hence recurring to-do is not envisaged for now.

10. Can I create my own status or stage for tasks?

No, customization of to-do status or stage is currently not possible. As of now, two to-do status available, (a) To-do (i.e. Open) and (b) Done.

11. Can I assign a task to more than one member in my team?

No, a to-do task can be assigned to only one of your team members and cannot be assigned to multiple team members. Instead, it is possible to create multiple to-do task for a specific lead/ customer.

12. Can I export all tasks or To-do to excel?

Yes, you can export To-do details as an excel file from HelloLeads web application. Steps: Login to Web application > Side menu > Reports > Activity Report > Select Report type as ‘To-do Report’, Select Task Owner and Select the Date range > Export Report

13. Can I get email reminders when a task is due?

No, currently you will not receive any email reminders when a task is due. We have in our road map to trigger email alerts for overdue To-dos, in the future.

14. How will I know if there is a task assigned to me (assuming I have not logged in to HelloLeads)

Push notification for To-do task assignment will be received only when you have logged in to your HelloLeads account in Android app; If not logged in, one of your team members would need to share the To-do details with you.

15. Can I copy an existing To-do and create a To-do

As of now copying an existing To-do to create a new To-do is not available. We have this in our road map, to introduce Clone To-do option.

16. Can I share a to-do task by WhatsApp with my team member?

Yes, a To-do task can be shared via WhatsApp or Text message or by any medium. When shared, the message will have a link to access the To-do details. Steps: (a) Android application > Menu > Hello To-do > Click on More options against a to-do > Tap on Share; (b) Android application > Menu > Hello To-do > To-do details screen > Tap on Share in the header section

17. What performance measurement is available for to-do tasks?

Against each To-do, you will be able to view the section Timeliness - which indicates the performance measuring data (a) If Status is To-do, it indicates the number of days the To-do is in due; (b) If Status in Done, it indicates the number of days it has taken for completion and the completion status against the due-date.

18. Is this feature a standalone feature?

No, it is not, by having a few dummy leads you can achieve this. As of now, To-do is designed with in lead management, which means each task is associated with a lead or customer. However, if you want to create a task that is not related to a lead or customer, pls create yourself as a lead or create your department (HR, Accounts) as leads and assign To-Do to these elements.

19. Can I create completed task?

No, To-do task creation with Status as Completed is currently not available. Task creation is available only with Status as To-do (i.e., Open)

20. Can I create task in the past time?

Task creation with past time is currently not available. Task can be created only with due as future date and time.

21. Do we have any role-based restrictions in creating or viewing a To-do?

Account owners and Managers can view all To-dos, while users in the roles of L1 and L2 can access only the To-dos that are created by them and To-dos that are currently assigned to them. Also, if a To-do task is assigned for them, against a lead which is not accessible by the L1 or L2 user, they will have the option to access the associated lead/ customer details in a ‘View Only’ screen, which allows them only to view contact and qualifiers information and doesn’t allow to make any changes to the lead/ customer information.
